An event does not need an isolated speech-to-text tool. It needs a caption route that fits the actual production. This guide explains how audio enters, how terminology and translation are managed, and how one caption source can serve the room, the broadcast and each attendee.

A formal event may serve several audiences at once: people watching the main screen, remote viewers watching a programme feed, attendees selecting a language on their phones, and guests listening to translated voice. The complete live caption workflow

1. Take a stable feed from the production audio system

Whenever possible, use a mixer, digital conference system or production bus rather than placing another microphone at the back of the room. Confirm connector type, channel routing, programme music, remote-speaker audio and working levels before the event.

2. Configure languages and event terminology

Define source languages, target languages and any bilingual switching. Agendas, speaker names, slides, scripts, product names and technical abbreviations create an event-specific terminology asset. Technical, medical and industrial conferences benefit particularly from this preparation.

3. Monitor transcription, translation and critical terms

The system produces source and translated captions continuously. Operators watch recognition, translation and output health and, where required, correct names, figures and critical statements. The project scope should identify what needs active human attention.

4. Deliver the same caption data in endpoint-specific layouts

A venue display, broadcast frame and mobile viewer can share one caption stream, but not necessarily one visual layout. Large screens prioritise viewing distance and stage composition; broadcasts protect faces and graphics; mobile viewers prioritise continuous reading and language selection.

Self-service software can suit internal sessions with a capable technical team. Remote support can work when the venue already has AV staff and a clearly defined route. Important international conferences, global launches and projects combining broadcast, audience devices and active correction are better treated as managed onsite delivery.

How to evaluate quality realistically

One abstract accuracy percentage does not describe a live event. Microphone quality, accent, pace, crosstalk, noise, terminology and language direction all affect results. A useful test uses representative content through the planned audio path and records which categories of information require human oversight.

AI captions broaden access and simplify multi-channel delivery. For legal, medical, contractual or safety-critical communication, add professional interpreting, human review or a controlled publication delay according to the risk.
